Minutes 1/28/20

Officer Reports- 

Vice President: thank you to everyone who came to the swim meet, look at the excel sheet because he wants us to try to go to some basketball games

Academic Affairs:. Had a meeting this morning with Academic Advising Support and Retention committee, awkward angst about how to refrain faculty senate committees, 2 retention committees, looking for a better way to work together with the 2, retention committee wanted to see if senate was interested in and wanted to give ideas about a mental health event, faculty concern is mental health and students not reaching out 

Finance: andrews swipes should be working now

Student Affairs: a lot of us have filled out the sheet about Compassion International, we have $49 per month (1 kid plus extra) if anyone is still interested, please fill out the form

Judicial Affairs: no report

Residence Life: had 5ish meetings this week about Res Life, student satisfaction survey went out today so fill it out (in Eagle Mail email, not separate email), after a meeting with Kim, she sent us a message, apologizing for the last meeting and asked that senate goes about the survey in a different way going to have continuing conversations with Kim and res life office, pilot program for card access for commuter students, Res Life will be collecting data on how on campus students feel about commuter students having swipe access to dorm buildings, regarding alcohol paraphernalia policy, administration gave us their wording and he is meeting with res life to complete this policy, their wording excludes decorative glassware, MLK day of service, we are wanted there, housing applications for next year on Feb 3rd so do it ASAP

Senior Class: gonna start reaching out to faculty and staff, also gonna start choosing commencement speakers, sat with a board member for drug and addiction services, app called Ashland Healthy Mind; using this to combat the issues around mental illness, download the app and look through it because the office need student feedback

Junior Class: no report

Sophomore Class: follow up email was sent out to the sophomore class, if there is anything you want sent to the sophomores, let them know

Freshman Class:  sending out a newsletter, emailing people about FSS and orientation

Advisors: 

Dr.Pool: sign up sheet for the Columbus visit; Rick Warren said this, disconnect daily, withdrawal weekly, abandon annually 

Kaylin: coming up with communication plans and admin stuff that needs taken care of, college of ed people doing field, your forms are due thursday

President: welcome to week 3, follow up about the form; people asking her about the form and how to fill it out, tell people to fill out the student satisfaction survey,  submit their complaint to the AU website or talk to them about their complaint, working with Dr Pool on a new form and better execution of it, easier to track this in writing on a form; we have been asked to participate in Future Eagle Days (Feb 15th and Mar 21st), exec had board meetings this week, download Ashland Healthy Mind

Isaac; comment, he has served on ABCC before and all that was done was allocating funds, no info on what money will be used for, question, size of budget

Nathan; cosponsor, comment, tennis club exists and gets money, they reserve Mac Court on mondays but don’t show up

Jacob B.; question, why do they appear to the full senate

Justin; answer, in case anyone wants to serve on the committee, also as a pressure to spend money wisely

Matthew; answer, ABCC doesn’t pass the budget, senate does

Jacob B.; question, why does the president have the power vs the ABCC chair

Justin; answer, if it’s a separate person, it is more serious, again as a pressure

Dana; clarification/question, international club had to document every event and how much was spent, how is this different

Matthew; answer, gives senate access to the info

Dana; comment/question, when applying for funding, it was hard to remember all events, can an email go out to tell presidents of clubs to keep track

Justin; answer, ABCC chair can set that procedure, this is just for senate having the info

Matthew; comment, him and Sabrina talked with Nicole about that, no language about that in the constitution, working on changing that

Sabrina; comment, Nicole said this could happen this semester  but then spending freeze happened

Dr. Pool; comment/clarification, spending freeze doesn't affect student orgs

Jacob N.; answer/comment, if we pass a resolution under someone's jurisdiction, it is our responsibility to send it to them, we want to continue with the success of resolutions

Sabrina; clarification, not coming from a place of feeling neglected

Dr. Pool; comment, uses the word ignore

Jacob N.; clarification, more intended for people to know this won’t happen

Justin; question, if the president were to send something out to the full student body, would they need another senator to approve

Sabrina; answer, yes, so if I wanted to send something to the sophomore class, get sophomore reps approval

Reina; question, how will the affect social media posts

Josh; concern/ question, hates this, puts too much power in one seat, how many problems have we had and what is the point

Sabrina; answer, only 1 problem but ensuring it won’t happen again

Ruby; cosponsor, comment, we shouldn’t have this issue and this is ensuring it won’t

Isaac; comment, disagree that it gives president too much power because if it is not approved, the full senate can overturn

Nick; comment, as of right now can pretty much send whatever you want

Shelby; question/ concern, we emailed 4-5 seniors about commencement, what about that? A lot of vagueness

Nick; comment, class responsibilities should be independent, senate should not have power over class officials

Josh; concern, why does the president have the right to control what people email to their constituency

Sabrina; comment/ answer, tricky because she trusts everyone, this is in response to what happened and it could've been prevented had she seen it, this is why senate can overrule what president says

Ashley; comment, you should trust us enough to send an email but at the same time it is hard to tell someone they can’t send an email

Nick; comment, difference between official senate correspondence and correspondence between senator and constituency

Nathan; comment, this isn’t to control every single thing each senator send out, this is for official senate correspondence

Sabrina; comment/clarification, what Nick is saying is opposed to this resolution

Nick; comment/clarification, the form that was sent contained full senate communication

Sabrina; comment/clarification, again this is meant to include anything the sophomore rep sends to the sophomore class

Jacob N.; comment, goal should be to go over the wording and take Nick’s concern 

Josh; comment/concern, this is a restriction of the ability to speak freely

General Concerns: 

Ashley; senior apt safety checks without 24hr notice and confiscated things without notification

Jacob N.; clarification on Ashley’s concern; because senior apts don’t have an RA in the building, the AC is supposed to communicate this is RA’s, res life was very upset about this, Kim said that the res life office needs specifics, not pursuing conduct because of breach of procedure

Ashley; concerns with interaction between Senior apts and RA’, confusion as to what we can and cannot have, maybe candles should be allowed

Jacob N.; you can work to change that policy

Matthew; question for Jacob N.; who is supposed to communicate

Jacob N.; answer/ clarification, ACs, res life is trying to solve this issue

Isaac; clarification on this issue, he is an RA in clayton, normally the email is sent out by ACs about when the checks will be done, this time the email only said a time frame and did not instruct RAs to send an additional email, some did, some didn’t, RAs were never told about it, only thing that was taken were candles, insurance company does not insure fires started by candles so that policy cannot really be changed

Shelby; comment, used to be an RA in clayton, this was never an issue in the past, the answer of a miscommunication is not a good excuse, it was made very clear that you must send 24hr notice

Nathan; comment, this is not the first time, illegally entered his room last semester

Jacob N.; comment, situations were different, also he sent those emails because the AC told him to, res life is not happy about this

Ashley; concern, when they did checks, it felt like they were looking for things on purpose, some are at the point where sorry is not good enough

Sabrina; comment, people outside of res life are frustrated because the last time this happened, we were told it will not happen again

Jacob N.; comment/question, shocked that this has happened again, would it help if he tells res life that the email did not make people feel better and that they tell him the new procedure

Ashley; answer, yes because people feel like nothing is being done

Sabrina; time limit 2 mins

Shelby; comment, every AC is different but this means that we need to better train the ACs

Dr. Pool; comment, the procedure is in place to notify when a mistake is made, we made sure that there will be no conduct from this, we will make sure senate sees the actual procedure

Sabrina; if senate wants to be aware of this, we can ask Jacob for updates and we can revisit

Nick; one of the senior apts had a roommate move out and res life told them to find a new roommate or they will be kicked out of the apt, something that was discussed last semester as well, understands the policy but res life should keep a list of people living elsewhere so when this happens, the people in the apt know who to contact

Isaac; comment, great thing to put on the housing form

Jacob N.; great idea and something we should do, let him know if you want to work with him on this

Sabrina; question, any suggestions for what she should do for now

Kaitlyn C.; they found a 4th roommate

Ashley; change this to show on the housing form

Rebecca; put in a request for transcripts and paid for them not through student account, was told that her transcripts are withheld because she is on a payment plan with the university

Katy; comment, complaint that she has heard before

Nathan; similar concern, he has not been able to register for classes due to payment plans as well

Nick; comment; something that has come up before, committee was reviewing academic performance and cannot have specific info accessible due to FERPA, work with Jacob B.

Maggie; every time she goes to the women’s restroom in the student center and each stall is a mess 

Rebecca; some stalls in the student center women’s restrooms don’t lock

Schuyler;  CFA 2nd floor women’s stalls dont lock and there is always a mess on the floor

Justin; printers not working in student center again and each time with a different error (he submitted a ticket)

Sabrina; her and Jacob had an issue where it said the printer did not exist

Jacob N.; print settings aren’t communicating with each other

Yosola; concern, flyers that say 10:1 for color printing in library

Nick; answer; kind of, something that is in preliminary discussion, we have to slowly phase out the old and slowly phase in the new, in regular communication with the company that runs Bb

Jacob N.; townies don’t stop and like to yell and will try to kill you

Josh; people over the age of 50 in this community do not care about or respect crosswalks so be careful
